Managing overseas agents for Umrah companies: how to win their groups
An agent works with several Saudi companies, and sends its group to whoever confirms fastest with the least trouble.

Most pilgrims of licensed companies arrive through agencies abroad. An agency usually works with more than one company in the Kingdom, and a group ready to pay goes to whoever confirms fastest and causes the fewest problems.
This guide is for the people who run agent relations, sales and finance: what makes an agent choose you, how to set up the contract, prices and credit, and how to follow the account and the quality. Since season 1448, overseas agents are qualified on Nusuk Masar, so have every agent’s file ready before then.
Answer in minutes, not days
An agent with a customer ready won’t wait two days for a quote. When it sees your offers at its contract prices and asks for a quote or a hold itself, it confirms while the customer is still in its office.
Speed doesn’t mean improvising: a quote that goes out in minutes must come from the same approved package, at the price the contract sets, so you never quickly sell what you can’t deliver.
Let the contract do the pricing
An agent’s prices, commission and credit limit belong in its contract, not in memory or messages. And when the price list is revised on a clear date, every agent sees the right price without asking.
- A credit limit per agent, that the agent can see too
- A rate card that decides what each agency sees
- Dated price revisions instead of silent edits
| Contract term | What it sets | Why it matters |
|---|---|---|
| Prices | The agent’s price for each package or departure band | The agent sees its price without asking |
| Commission | A rate or an amount per seat or booking | It’s worked out on every invoice with no dispute |
| Credit limit | The most the agent may owe at once | You know when to stop before the debt grows |
| Cancellation terms | What’s kept and what goes back on a cancellation | The settlement is agreed in advance |
| Payment dates | The deposit, the balance and when each is due | Finance follows a date, not a reminder |
These are terms the two sides agree, not a contract template. Check with your legal adviser, and with what Nusuk Masar requires of the season’s contracts.
Take travellers’ details once, from the source
Every time a name is retyped from a passport scan, a new mistake is born. Let the agency send its travellers’ details and manifests itself, in one agreed format, straight into their files.
Watch credit before it turns into debt
A credit limit nobody follows is just a number in a contract. Each week, review every agent’s ageing: what’s due and unpaid, for how long, and how it compares with the limit. An agent nearing its limit gets a call before it books a new group, not after.
- Send the agent its statement, or let it read it itself
- Ask for payment a few days before it’s due, not after
- Record every transfer the agent reports as soon as it lands
- Pause new bookings past the limit, by a written decision
Keep the statement open, and watch quality
An agent that reads its own statement, invoices and payments asks less and pays sooner. And review agencies on the quality of their groups, not only their volume — including how many of their travellers overstayed.
At the end of each season, score every agency on a few clear numbers: pilgrims sent, the share of files sent back for correction, the share who overstayed, and average days to pay. Then let that score shape next season’s contract.
How Umrah Link helps
Every agency gets a portal at your company’s address: it sees your offers at its rate card’s prices, asks for quotes and books, sends its travellers’ details, reads its statement and manages its own users and roles. The portal sends requests that your team and system carry out, and an agency only ever sees its own records. Each agency has a file with its contract, prices, commission and credit, and its travellers’ overstay rate counts in its review.
Common questions
What makes an agent choose one company over another?
Fast confirmation, clear prices and few problems after booking: visas without delay, housing as promised, and an accurate statement.
Should an agent see its own credit limit?
It helps both sides: an agent that sees its limit and balance plans its bookings and isn’t surprised by a payment request.
How do we avoid commission disputes?
Make commission a contract term with a clear rate or amount, and work it out on every invoice from that contract, not by hand at the end of the season.
Isn’t WhatsApp enough to manage agents?
It’s fine for talking, but it doesn’t keep approved prices, bookings or balances. When prices live in messages, each side remembers them differently.
