Finance & e-invoicing: Books that close the season, not spreadsheets reconciled after it
Every department that moves money posts to one double-entry ledger: a booking is invoiced, a payment recorded, a hotel bill falls due, a refund is settled before the booking is cancelled. And the tax invoice becomes a ZATCA Phase 2 e-invoice.

Which plans include it
ZATCA Phase 2 e-invoicing
Invoices and credit and debit notes become e-invoices in UBL, with the hash, signature and QR code. Standard invoices go for clearance; simplified ones are reported.
A double-entry ledger for Umrah companies
A chart of accounts built for Umrah companies, fiscal years and months with their Hijri names, and every department posting through it, so nothing is entered twice.
Agent and customer accounts
Tax invoices, proformas, and credit and debit notes for agents and direct customers, from bookings or on their own — with ageing on every account.
Suppliers and payments
Hotel, transport and catering bills, payments out once approved, receipts, and payment links on your company’s own card gateway.
Cancellations settled before they happen
What the payer paid, what you keep under the terms you sold, what goes back and what you recover from suppliers — a settlement approved before the booking is cancelled.
Reports and custody
Statements, profitability and budgets straight from the posted ledger, and staff expense claims and cash custody booked the right way.

Step by step
How it works
Who it’s for: Finance managers and accountants, the collections team, and whoever approves payments.
The booking is invoiced
A tax invoice from the booking or on its own becomes an e-invoice with its hash, signature and QR code.
ZATCA clears it, or is told
A standard invoice goes for clearance, a simplified one is reported, and a rejected one is corrected with a new e-invoice.
Every movement posts once
Invoices, payments, supplier bills and payroll post to one double-entry ledger, with a chart of accounts built for Umrah companies.
Collecting and paying, with sign-off
Receipts and payment links, hotel, transport and catering bills, and payments out once they’re approved.
Cancellations are settled first
What was paid, what you keep under the terms sold, what goes back and what you recover from suppliers — in a settlement approved before the booking is cancelled.
An example
A day in the season
An agent in Istanbul cancels 8 seats from a group that’s half paid. Before the cancellation, finance prepares the settlement: what the agent paid, what the company keeps under the terms sold, what goes back to the agent and what is recovered from the hotel.
Once the settlement is approved the booking is cancelled, and a credit note referring to the original invoice is issued; it becomes an e-invoice that goes to ZATCA and posts to the same ledger with no manual entry.
At month’s end the agent opens its statement in its portal and sees the note and the new balance, and the finance manager reads profitability from the same entries.

Common questions
Are the invoices ZATCA Phase 2 compliant?
Yes. Your e-invoicing unit is onboarded with ZATCA, each invoice is signed and sent for clearance or reported by type, and a rejected one is corrected with a new e-invoice.
Can we bring opening balances from our current system?
Yes, with the opening-balance import. And the chart of accounts follows a layout familiar to anyone who has used Saudi accounting software.
Does it issue proforma invoices?
Yes — proformas for agents and direct customers, alongside tax invoices and credit and debit notes.
Are refunds posted to the books?
Yes. The settlement approved before the cancellation decides what goes back and what is recovered from suppliers, and it posts to the same ledger.
Are fiscal months in the Hijri calendar?
Fiscal years and months carry their Hijri names, and Hijri dates sit beside Gregorian ones across the system.
