Sales & packages: From the first enquiry to a confirmed booking, without copy and paste

Every enquiry enters Umrah Link as a lead with an owner and a follow-up date. Packages are built from the same hotel, transport and catering contracts, quotations come from them, and a confirmed booking holds rooms from your hotel allotments directly.

Leads on a pipeline

Contacts and leads in stages, with their timeline, follow-ups and campaigns — and duplicates caught before two people call the same customer.

Packages built from real costs

Stays, services, transfers and visits in order, with departure bands and prices worked out to the halala. Every submitted version is kept as it was, so you know what each booking was sold at.

Quotations for agents and customers

A quote for a published package or a custom trip, sent once any approval it needs is given, becomes a booking that holds the rooms when it’s accepted.

Sign-off on every exceptional discount

A discount beyond a salesperson’s limit goes to whoever holds the decision, and the record keeps who approved it and when.

Price lists with dated revisions

A pricing library and price lists revised on clear dates, published to your agents and your website from one source.

Bring the lists you have

Import contacts and leads from the files you use today, and export them whenever you need.

Step by step

How it works

Who it’s for: Sales teams, the people who build and price packages, and whoever signs off discounts.

  1. An enquiry enters as a lead

From a website form, a call or an imported file, the lead is recorded with an owner and a follow-up date — and flagged as a duplicate before two people call it.

  2. The package is built from your contracts

Stays, services, transfers and visits in order, priced from your hotel, transport and catering contracts, with departure bands that each carry their own price.

  3. The quote goes out once approved

A quote for a published package or a custom trip. A discount beyond the salesperson’s limit waits for whoever holds the decision, and the record keeps who approved it and when.

  4. Acceptance becomes a booking that holds rooms

When the quote is accepted it becomes a booking, and its nights come straight off your hotel allotments.

  5. The booking is invoiced and followed to payment

The confirmed booking is billed with a ZATCA e-invoice and stays on the agent’s or customer’s account until it’s collected.

An example

A day in the season

An agent in Jakarta asks for a quote for 42 pilgrims in the last ten nights of Ramadan, 15 nights between Makkah and Madinah. The salesperson opens the package published for those dates and sees the right departure band’s price, worked out from the same hotel and transport contracts.

The agent asks for a bigger discount than the salesperson may give, so the request goes to the sales manager, is approved the same day, and the quote goes out. When the agent accepts, it becomes a booking holding 11 quad rooms from the hotel’s allotment for those nights.

Nobody retyped a spreadsheet or copied a price from a message: the quote, the booking and the invoice come from the same record, and the manager knows at any time what each booking was sold at.

Common questions

Can a package be priced by departure date?

Yes. A package has departure bands, each with its own price, worked out from the hotel, transport and meal rates you contracted.

Do agents see different prices from direct customers?

Yes. Each agent sees the prices its contract and rate card set; direct customers see your website’s prices.

Can we import leads from Excel files?

Yes. Contacts and leads are imported from the files you work with today, and you can export them whenever you need.

What happens to a booking’s price if the price list changes?

Nothing. Every submitted version of a package is kept as it was, a booking keeps the price it was sold at, and a new revision applies from its date.

Can we sell a custom trip that isn’t published?

Yes. A quote can be built for a custom trip; it goes through the same approvals and becomes a booking when it’s accepted.
