Receiving Umrah groups at Madinah airport: a guide for a company’s reception team

From following the flight before it lands to handing the group to the hotel: who does what, and what happens on a delay or diversion.

A view of Madinah

Many groups fly straight into Madinah through Prince Mohammad bin Abdulaziz International Airport, so the first stage of their programme is here rather than Makkah. The first thing a pilgrim sees of the company is who meets them at the airport. This guide shows Umrah company reception and transport teams how to organise those hours. For the airport’s own instructions, such as waiting areas and permits, check with the airport’s management.

Before arrival day

Review this list for each flight at least a day before it lands:

  • The flight number and time, and the groups and pilgrims booked on it.
  • Each pilgrim’s visa status, and that nothing is missing from their file.
  • The assigned greeter, and how to reach them and the group leader.
  • The coach, driver and boarding list, and the hotel and rooming list.
  • Special needs, such as wheelchairs and elderly travellers.

Arrival day, step by step

A simple order that stops pilgrims getting lost between airport and hotel:

  1. Follow the flight’s status before landing, and adjust the coach time if it changes.
  2. Send the greeter and coach with a margin for passports and baggage.
  3. Record meeting the group, and tell the operations desk how many actually appeared.
  4. Confirm pilgrims’ entry, excluding those who did not arrive by name rather than by count.
  5. Match boarding to the list before the coach leaves.
  6. Hand the group to the hotel with the latest rooming list, and tell the field supervisor.

On a delay, cancellation or diversion

Write this down before the season, so it is not improvised at midnight:

SituationWhat changesWho acts
Short delayCoach and greeter timeReception coordinator
Long delayCoach, driver, hotel and the day’s programmeDuty operations manager
CancellationBooking, rooms and the agentDuty manager and the agent
Diversion to another airportThe whole transport plan, perhaps the order of citiesOperations manager

These roles are suggestions, so name specific people for each shift in your company.

After arrival

After reception comes the ziyarah programme and Rawdah permits. If the group arrives late, review the programme the same night. When moving on to Makkah, plan the trip between the cities by coach or Haramain train, as the guide to transport from Jeddah airport compares.

What the greeter carries

A greeter works under pressure and may stand alone before a large group. So their information must be complete and simple: the group’s names and count, its leader and phone number, its language, the hotel, the coach number and driver’s name, and the duty number to call on any problem. A head count alone is not enough, because a missing pilgrim must be known by name.

Also agree on a clear sign by which the group recognises its company, and a meeting point the agent gives the group leader before travel, once you have confirmed it is allowed at the airport. Much of the time lost in reception comes from neither side knowing where to meet.

If the group arrives at night

A late arrival changes the whole first day. Review these points:

  • Tell the hotel the expected time, and confirm the rooms are ready and someone on the night shift will receive the group.
  • Postpone an early-morning visit if the group has not had enough rest.
  • Review permit slots, as the group may need a different order on its first day.
  • Arrange the first meal if it is part of the service, as pilgrims may arrive after it ends.

How to measure reception quality

You do not need complex measures. For each flight, record the landing time, when the group was met, when the coach left, when it reached the hotel, and how many did not appear. After a few weeks you will see where time goes: passports, baggage, finding the group, or a late coach. Discussions with the carrier or agent can then rest on what happened rather than impressions.

How Umrah Link supports the reception team

In Housing, transport & field, flights and their bookings, each pilgrim’s entry and airport reception are all recorded:

  • A reception assignment per flight and group, with the states planned, en route, met and missed.
  • Entry confirmation per pilgrim or for a whole group, excluding those who did not arrive, with duplicates refused.
  • An alert on delay, while a cancellation or diversion opens an urgent action that stays open until someone resolves it with a reason.
  • When a flight is delayed or retimed, the ground trips that depend on it are replanned, and the driver sees the new time on a link that shows only their trip.

Common questions

Does the system read flight times automatically?

Your team records the flight and its status in the system. Confirm the time at its source, then update the status so everything linked follows.

Is this guide for someone looking for a private airport transfer?

No. It is for Umrah company teams and agents running groups, and is not an offer of a transfer service.

Does this work for Jeddah airport?

The same steps work, but the journey after it differs. See the guide to transport from Jeddah airport to Makkah.
